How to View Your Data Using Lists

What you'll learn in this guide

Where to find every Data List your team has uploaded — before and after it sends — and how to drill into any one of them to review the recipients, reconcile your data, and track engagement once it goes out.

Overview

Every time data is uploaded into CX Platform for a send, it's captured as a Data List. Each List holds the recipients for that send and travels with them through the whole lifecycle — from the moment your file lands, through processing and scheduling, all the way to delivery and engagement once the messages go out.

Because Lists are available both before and after a send, they pull double duty as your pre-flight check and your post-send report. Before a send goes out, you can open the List to confirm the upload looks right, check the recipient count, and spot any data issues early. Once the send is complete, the same List shows you exactly what happened — who received the message, who opened it, and what their delivery status is.

This guide walks you through opening the Lists view, finding the send you're after, and drilling into the data inside — whether that's before the send goes out or well after.

Pre-send and post-send in one place
Pre-send, Lists is your validation step — confirm the data is right, the count matches, and nothing's gone sideways with the upload. Post-send, it's your reporting and lookup tool — track what was delivered, who engaged, and follow up on individual recipients when you need to.

Open the Lists view

The Lists view is your starting point — a single page showing every send across every status, with filters at the top so you can narrow things down quickly.

  1. In the secondary navigation menu, click Lists to open the Lists view.
  2. You'll see every Data List with its key details at a glance — Id, Application, Channel, File name, Status, Qty, and Date Created.
  3. Use the filters along the top — Search file name, All statuses, All channels, All applications, and a date range — to narrow the view, then click Filter to apply.

The Status filter is your friend here. Filter to in-progress statuses to keep tabs on what's processing or queued, or filter to completed sends when you're reviewing performance. The date filter defaults to the last 30 days, so if an older send isn't showing up, that's the first thing to check.

View the contacts in a List

Once you've found the List you want, you can open it up to see every recipient included in the send. Before the send goes out, this is where you'll confirm the right people are on the list and the data looks clean. After it goes out, the same view fills in with delivery status and engagement.

  1. In the Lists view, find the send you want to look at.
  2. Click the icon on the right-hand side of the row — hover over it and you'll see the View contacts tooltip appear.
  3. The List will open on the Documents tab, showing every recipient with their Id, Date Processed, Account Number, First name, Surname, Email Address, Mobile, and Status. Once the send has gone out, you'll also see whether each contact has opened the message.

From here you can sort by any column, search for a specific recipient, or click the icons next to a record to view that contact's individual document and history.

What's in each tab

When you open a List to the record level, you'll see three tabs across the top. Here's a quick rundown of what each one is for.

Tab What it's for
Documents The recipient-level view. Every contact included in the send, along with their personal details and status. Before the send goes out, use this view to validate your upload and confirm the right people are on the list. After the send, the same view shows delivery status, engagement, and a link through to the individual document generated for each recipient.
Details The metadata about the List itself — file name, Application, channel, total quantity, processing dates, and source file information. Useful for confirming exactly what was uploaded, when, and how it was configured.
History The audit trail for the List. Shows when it was created, processed, and any changes or actions taken since. Handy if you ever need to confirm what happened with a particular send, or trace back through the lifecycle of a List.

Reconcile a send in the Details tab

The Details tab is where you'll go when you need to reconcile a send against your source data. It pulls together all the metadata about the List in one place, so you can quickly confirm what was uploaded, when, how, and by whom — handy for day-to-day checks and essential for audit or compliance work.

Open the Details tab and you'll see:

  • Application — which Application the send belongs to
  • Filename — the exact file that was uploaded
  • Created by — who or what created the List, whether that's an API, a named user, or another integration
  • Created on — the precise timestamp the List landed
  • Type — how the data was loaded, for example Batch Backload or real-time
  • Channel — the channel the send is going out on
  • Status — where the send sits in its lifecycle
  • Total documents — the number of records included in the List
