Archive an Application

What you'll learn in this guide

‍Learn how to archive an Application when it's no longer in active use, and how to bring it back if you need it again. We'll walk you through both processes step by step, and explain what archiving actually changes behind the scenes.

Overview

Archiving is the middle ground between leaving an Application active and deleting it altogether. It's the right option when an Application isn't being used anymore, but you still want to keep its setup intact — perhaps for historical reference, future reuse, or simply because you're not ready to remove it permanently.

When an Application is archived, it stays visible in your Application list view (so you can find and restore it later), but any references to it are hidden from reporting and data lists. The result is a tidier day-to-day view, without losing anything.

Archive an Application

Here's how to archive an Application that's no longer in active use:

  1. From the secondary navigation, click Applications to view the list of all available Applications.
  2. Open the Application you want to archive. You can either double-click the highlighted Application or click the Settings icon on the right-hand side of the list view.
  3. Click the Details tab in the Application settings.
  4. In the Basic Settings card of the Details page, tick the Archive/Hide Application checkbox.
  5. Scroll to the bottom of the Details page and click Save.

That's it — your Application is now archived. It'll still appear in the Application list view so you can find it later, but it won't show up in reporting or data lists, helping keep those views focused on what's currently in use.

Unarchive an Application

Need to bring an archived Application back into active use? The process is the same, just in reverse:

  1. From the secondary navigation, click Applications to view the list of all available Applications.
  2. Open the archived Application. You can either double-click the highlighted Application or click the Settings icon on the right-hand side of the list view.
  3. Click the Details tab in the Application settings.
  4. In the Basic Settings card of the Details page, untick the Archive/Hide Application checkbox.
  5. Scroll to the bottom of the Details page and click Save.

Your Application is now restored and will reappear in reports and data lists alongside your other active Applications.

Archive or delete?

If you might ever want the Application back, archive it. Archiving is fully reversible — deleting isn't.
