What is a pre-built widget?
A pre-built widget is a reusable form question or content block that's been configured and saved for use across multiple forms. Rather than building the same question from scratch every time — complete with label, validation rules, logic, and HTML — you save it once and make it available to everyone building forms in your tenant.
Widgets appear in the Toolbox in the Form Designer, alongside the standard question types. Once one is in the Toolbox, any form builder in your tenant can drag it onto a form canvas just like any other component.
Add a question to the Toolbox
Any question on any form can be saved as a shared widget. When you add it to the Toolbox, it becomes available to everyone across your tenant — not just on the form you're working on.
Tenant-wide change: Adding a question to the Toolbox makes it available to all form builders across your tenant. Make sure the question is complete and correctly configured before adding it — including its label, validation, and any HTML content.
- Open any form template and go to the Form Designer.
- Hover over the question you want to save as a widget. A small toolbar will appear above the question.
- Click Add to toolbox in the toolbar. The question is immediately added to the shared Toolbox at the tenant level.
The widget will now appear in the Toolbox for all form builders in your tenant, ready to be dragged onto any form canvas.
Use a widget when building a form
- Open the form template you want to add the widget to and go to the Form Designer.
- In the Toolbox on the right, scroll down to find your saved widget — it will appear alongside the standard question types.
- Drag the widget onto the form canvas in the position you want it.
- Click Edit on the placed widget if you need to adjust any settings for this specific form — such as changing the label or tweaking the validation — without affecting the shared version in the Toolbox.
Good candidates for widgets: Widgets work best for questions that appear in many forms and need to stay consistent — things like consent declarations, privacy notices, standard identity fields, eligibility statements, or any HTML content block that contains approved legal or compliance text.
Pre-built widgets save time and keep your forms consistent — once a well-configured question is in the Toolbox, anyone in your team can use it without needing to rebuild it or worry about getting the details right.
