Access Form Responses
To access form responses:
- Navigate to the Receive tab from the main navigation bar
- Select Responses from the left navigation menu to open the list of form responses
All incoming responses are displayed in a table showing attributes such as ID, Form Name, Account Number, Name, Status, and Date Created.
Use Filters and Search
Use the search box at the top of the page to quickly find responses by account number or respondent name. Narrow your results further with dropdown filters:
- All forms - Filter by a specific form template
- All statuses - Filter responses by their completion state (e.g., Created, Saved, Submitted)
- Date range - Limit the view to responses received within the last 7, 30, 90 days, or a custom range
Combine these filters for more precise results. After setting filters, click Filter to update the table view.
Navigate and Sort Responses
Adjust Page Size to control how many responses are shown per page (e.g., 25, 50, 100). Navigate between pages using the pagination controls (First, Prev, Next, Last).
Columns can be sorted to reorganise results, for example, by newest or oldest response. Click on any column heading to sort by that field.
View Individual Form Data
Click any record's ID or the magnifying glass icon to view full response details. Once opened, you can review all submitted information and take further actions as needed for your workflow.
Using the Filters
The filters panel allows you to refine which responses are displayed in the main table. Apply filters based on form type, submission status, or date range to focus on specific subsets of your form data.
Status Definitions
Form responses can exist in several states throughout their lifecycle:
- Created - A new form instance has been initiated but no data has been entered
- Saved - The respondent has begun filling out the form and saved their progress without submitting
- Submitted - The form has been completed and submitted by the respondent
- Processed - The submitted form has been reviewed and actioned by your team
- Expired - The form has passed its completion deadline without being submitted
Understanding these statuses helps you prioritise follow-up actions and identify forms requiring attention.
Add a Note
Click the Add Note button in the top right corner when viewing a form response to attach internal comments or documentation. Notes are visible to your team members but not to the form respondent, making them useful for:
- Recording follow-up actions taken
- Documenting conversations with the respondent
- Flagging issues or required approvals
- Adding context for team members who review the response later
Save a PDF Copy
When viewing an individual form response, you can print / save PDF version of the submission. This is useful for:
- Creating permanent records for compliance or audit purposes
- Sharing response details with team members who don't have platform access
- Attaching form responses to external systems or client files
- Click the print / save PDF option when viewing the full response details to generate the PDF.
View Audit Trail and History
Select the History tab when viewing a form response to see the complete audit trail. The history shows:
- Date and time the form was created
- Date and time of each save action
- Date and time the form was submitted
- IP address of the respondent
- Any status changes or processing actions
This audit trail is valuable for compliance tracking, troubleshooting submission issues, and verifying when actions occurred.
Export a Response
This feature is currently being built and will be available in a future release.
