Forms Activity Insights

What you'll learn in this guide

Learn how to use Forms Activity Insights in the Receive module so you can apply filters, understand dashboard metrics and monitor digital form performance more effectively.

Access Forms Activity

To access the Forms Activity dashboard:

  1. Navigate to the Receive module from the main navigation bar
  2. Click on Forms activity under the Reports section

The dashboard displays metrics for the selected time period, with filters available to refine your view.

Use the Filters

The Forms Activity dashboard includes three filter options at the top right of the page to help you narrow down the data displayed.

Filter by Category

Use the All categories dropdown to filter form submissions by their assigned category. This is particularly useful when you want to focus on specific types of forms, such as Marketing forms, Client forms, or Internal forms.

Statuses

The All statuses dropdown allows you to view forms based on their current status:

Status What it means
Created A form session has been started — the link was opened and a session was initiated — but the user hasn't yet saved or submitted anything. The form is in progress or was abandoned before any action was taken.
Saved The user started filling in the form and saved their progress using the Save and Resume feature. The form hasn't been submitted yet — the user may return to complete it, or the session may eventually expire.
Submitted The user completed and submitted the form. This is the most common status you'll be working with day-to-day. A submitted response means the data has been captured and any configured Actions (such as Webhook notifications or CX Engine sends) have been triggered.
Processed The response has been marked as processed — indicating it has been reviewed, actioned, or picked up by a downstream system. See below for the two ways a response can reach this status.
Expired A saved session that reached its expiry date without being completed. The Save and Resume link is no longer valid. If an Expired action is configured on the form, it will have fired at the point of expiry.

Select a specific status to isolate submissions at a particular stage of the workflow.

How responses get marked as Processed

The Processed status is the one status that doesn't happen automatically — it requires either a manual update or a configured system integration. It's designed to give your team a way to track which submitted responses have been actioned, so you can clearly separate what still needs attention from what's already been dealt with.

Marking a response as Processed manually

Any submitted response can be manually moved to Processed by your team directly in Forms Activity. This is useful when your team reviews responses and wants to mark them as done — for example, after a case has been created, a call has been made, or a document has been filed.

  1. In Forms Activity, find the response you want to update.
  2. Open the response record.
  3. Update the status to Processed and save.

This gives your team a lightweight way to manage a response queue without needing any external integration — useful for lower-volume forms or internal workflows where a simple reviewed/not-reviewed flag is enough.

Automatically marking responses as Processed via integration

For teams with higher volumes or connected downstream systems, the Processed status can be set automatically by an external system via the API. When your CRM, case management platform, or workflow tool receives the form data and creates a record or case, it can call back to CX Platform to update the response status to Processed — closing the loop without anyone needing to do it manually.

This integration is configured as part of your CX Platform setup. If you'd like to automate the Processed status as part of your downstream workflow but haven't set this up yet, reach out to your Chandler CX account manager — it requires development effort to configure and is scoped as a billable engagement.

Using status to manage your response queue: A simple and effective way to use Forms Activity is to filter by Submitted at the start of each day to see everything that needs attention, then mark responses as Processed as your team works through them. Filtering by Submitted the next day gives you only the new responses — keeping the queue clean and making it easy to see what's still outstanding.

Filter by Date Range

The date range filter (defaulting to Last 7 days) lets you specify the time period for your analysis.

  1. Click the dropdown and select from preset ranges or choose a custom date range.
  2. The filter displays an X icon when a specific range is selected, allowing you to clear the filter quickly.
  3. After selecting your desired filters, click the Filter button to apply your selections and refresh the dashboard data.

Understand Dashboard Metrics

The Forms Activity dashboard consists of four primary visualisation sections that provide different perspectives on your form data.

Status Overview

The Status pie chart displays the distribution of forms across different workflow stages. Each segment represents a status category with both the count and percentage of total forms:

  • The chart provides a quick visual breakdown of how many forms are in progress versus completed
  • Use this metric to identify bottlenecks, such as high numbers of saved but not submitted forms

Category Distribution

The Category pie chart shows the breakdown of form submissions by their assigned category. This visualisation helps you understand which types of forms receive the most activity and identify patterns in form usage across different business functions.

Form Performance Table

The Form table lists individual form templates with their submission counts and percentages:

  • Form column displays the form name or template identifier
  • Qty column shows the total number of submissions for each form
  • % column indicates the percentage of total submissions represented by that form

This table helps you identify your most frequently used forms and spot forms that may be under utilised.

Responses Per Day

The Responses Per Day chart is a stacked bar chart showing daily form activity trends. Each bar represents a single day and is colour-coded by status:

  • Created - New form instances started each day
  • Saved - Forms saved as drafts
  • Submitted - Forms completed and submitted
  • Processed - Forms that have been reviewed
  • Expired - Forms that expired

The numeric value at the top of each bar shows the total form activity for that day.

Hover over a section to see the quantity and percentage of each response status.

This chart is essential for identifying activity patterns, peak usage periods, and potential processing delays.

Best Practices

  • Review the dashboard weekly to monitor form submission trends and identify any unusual patterns
  • Use date range filters to compare activity across different time periods (e.g., month-over-month comparison)
  • Monitor the ratio of saved-to-submitted forms to identify potential user experience issues with form completion
  • Track the Responses Per Day chart to ensure forms are being processed in a timely manner and not accumulating in submitted status
