How to look up a member in the Generate module and open their case history, so you can pick up an existing piece of correspondence or start something new for them.

Overview

The Generate module is where you create one-to-one correspondence for an individual member, rather than sending to a whole list at once. Before you can build or send anything, you'll need to find the right person and decide how you want to proceed.

Searching brings up a member's record alongside their case history, all in one place. From there you can start a new case, carry on with one that's already open, or generate correspondence on its own without attaching it to a case at all.

It's the natural first step whenever you're preparing personalised correspondence for a specific member.

Search for a member

  1. Open the Generate module in the primary navigation menu.
  2. Click Members in the secondary navigation menu to open the member lookup.
  3. Enter the member number (or name) in the Search by name or account number field.
  4. Click Search to start the lookup.

Prefer to skip the search?

The Manual option lets you generate correspondence by filling in the required data fields for your chosen template yourself, so you don't have to look up a member first.

View a member's case history

  1. In the search results, click the member you want — anywhere on their row — to open the guided workflow.
  2. Review the case management screen. This shows the member's active case history. Tick Show closed cases to bring closed cases into view as well.

From here, you've got three ways to go:

  • Create a new case to generate correspondence against a fresh case.
  • Continue without a case if you just need to generate correspondence on its own.
  • Open an existing active case to carry on with correspondence generation where it was left off.

Good to know

If the case you choose doesn't have a template assigned to it, you'll see a prompt letting you know no template is available.

That's it — you've found your member and you're looking at their full case history. Whichever path you choose, you're now ready to move into building the correspondence itself.
