What you'll learn in this guide

How to pull up a complete activity log for any individual recipient — from when a message was sent to when (and where) it was viewed — so you can answer questions, confirm delivery, or investigate an issue with confidence.

Overview

Every send in CX Platform leaves a trail. The History tab gives you a full audit log of what's happened to a single recipient's communication — when it was generated, when copies were sent, when it was viewed, from what device, and roughly where in the world the viewer was at the time.

It's the place to go when someone calls and says "I never received it" or "When did you send this?". Instead of trawling reports or asking around, you can open one record and see the whole story laid out in date order.

You'll find the History tab inside the Preview dialog for any record in the Archive module.

Open a recipient's History

  1. In the secondary navigation menu, click Archive to open the Archive module.
  2. Use the search filters to locate the individual record you're after. You can search by recipient details, date range, or any of the fields configured for your Application.
  3. In the search results table, click the Preview icon next to the record to open the Preview dialog.
  4. In the Preview dialog, click the History tab.

You'll now see a full list of activity for that recipient, with the most recent action at the top.

What the History tab shows you

Each row in the History is one action — something that happened to that specific recipient's communication. The table has four columns:

Column What it shows
Date The exact date and time the action took place. Click the sort arrows to flip between newest and oldest first.
Action What happened — for example, the original document being created, a copy being sent, or someone viewing the archived record.
Summary The detail behind the action. Depending on the action type, you might see the template name, recipient email, device and browser info, approximate location, or IP address.
Username The person who performed the action. For admin activity (like viewing the archive), this is the logged-in user. For recipient activity, this is the email address the communication was sent to.

A quick note on the data

History data can be slightly delayed (especially for opens and views), and location data is approximate — it's based on IP geolocation, which gets you to the general area but not the exact address. It's great for spotting trends and confirming activity, but it shouldn't be used as evidence of where a specific individual was at a specific moment.

That's it — you've now got the full audit trail for that recipient. From here, you can keep digging through the same Preview dialog using the Details and Preview tabs to see the underlying data and the rendered communication itself, or head back to the Archive search results to look up another record.
