How to Customise the Search Results List View

How to control which fields show up as columns in your Archive search results, so the information that matters most to you is right there at a glance.

Overview

When you run a search in Archive, the results appear as a list view — a row for each communication, with columns showing the details you care about most. Things like the recipient's email, the application name, the date it was processed, and the delivery status.

The columns you see aren't fixed. Each Application controls its own list view, so you decide which fields appear and which ones stay tucked away. If your team relies on a particular piece of data — an account number, a reference ID, a custom field — you can surface it as a column. And if there are fields cluttering up the view that no one looks at, you can hide them just as easily.

It's all managed from the Fields tab inside the Application settings. No developer required.

Find your Application's field settings

List view fields live inside the Application that owns the communications you're searching. To get there:

  1. In the secondary navigation menu, click Applications to view a list of all available Applications.
  2. Double click the Application you want to update, or click the Settings icon on the right-hand side of the row.
  3. Click the Fields tab in the Application settings.

You'll land on the field configuration page — a table showing every field defined for this Application, with controls for how each one behaves.

Add or remove fields from the list view

The column you're interested in is Show in list view?. Tick it to show the field as a column in the search results, untick it to hide it. That's the whole story.

  1. Find the field you want to show or hide in the Name column.
  2. In the Show in list view? column, tick the checkbox to add the field as a column, or untick it to remove it.
  3. Need to add a brand new field? Scroll to the empty row at the bottom of the table, give it a Name, choose its Data type, point it at the Source data field, and tick Show in list view?.
  4. Click Save at the bottom of the page.

Head back to Archive, run a search against this Application, and your updated columns will be there in the results.

A quick tip on column count

It's tempting to show every field "just in case", but a leaner list view is easier to scan. Pick the handful that your team actually uses day-to-day and leave the rest hidden — you can always toggle them back on later.

A note on fields that won't budge

If you open the Fields tab and see a yellow banner at the top saying the Application has data already imported, some of the checkboxes will be greyed out. That's normal. Once data has flowed through an Application, certain settings are locked to protect the integrity of what's already been processed.

You can still edit display names, show or hide existing fields, and add brand new ones. What you can't do is delete a field or change its underlying data type after the fact. If you need to make a bigger structural change, the safest path is to copy the Application and rework the fields on the copy before any data lands.
