Overview
The Archive is where every communication you've sent through CX Platform is stored. To make sure people can quickly find what they're looking for, you can choose which fields are available as search inputs on the main Archive search page.
This is controlled at the Application level, in the Fields tab. Any field with Is search index? ticked will show up as a search parameter when someone opens the Archive. Fields that aren't ticked are still used within your templates for personalisation, but they won't appear on the search page.
It's worth thinking about which fields your team actually searches by day-to-day. Things like account numbers, reference IDs, or customer surnames usually earn their place. Internal fields used only for template logic generally don't.
What Is search index? actually does
This setting controls whether the field is displayed on the main Search page in the Archive, or whether it's just used within the template. Ticking it adds the field to the Archive's search parameters.
Add a search field
- In the secondary navigation menu, click Applications to view a list of all available Applications.
- Find the Application you want to update, then either click the highlighted row or click the Settings icon on the right-hand side of the list view to open it.
- Click the Fields tab to see all the fields configured for this Application.
- Add a new field, or find the existing field you want to make searchable.
- In the Is search index? column, tick the checkbox next to that field.
- Scroll to the bottom of the page and click Save.
See your search field in the Archive
- In the secondary navigation menu, click Search, or click Archive in the primary navigation. Either route will open the Archive.
- Your newly indexed field will now appear as a search parameter alongside the others, ready to use.
That's it — anyone with access to the Archive can now filter by this field. If you ever want to remove a field from the search page, head back to the Fields tab and untick Is search index? — the field will stay in your Application for template use, just not on the search page.
Keep your search page tidy
You don't have to index every field. A handful of well-chosen search inputs is usually more useful than a long list, so stick to the fields people actually search by.
